General FAQ

Accommodation and travel: Do I need to book my own?

Yes please, you will need to make your own travel arrangements including flights, transfers and accommodation.

Accommodation can be arranged at preferential rates via the Gastech website.

It is important to note that the only official accommodation provider for Gastech is MiCodmc.

We have had reports of emails shared by fraudulent accommodation agencies – please do not engage with these agencies, they are not associated with Gastech.

Transport and Venue

Venue: Fiera Milano

Fiera Milano, Strada statale Sempione, 28, 20017 Rho MI.

Halls

  • Gastech is located in Halls 14,18, 22, 24.
  • All attendees will access the event from the upper walkway each morning

Transport

  • Metro: Rho-Fieramilano stop, M1 Red Line, which is close to East Gate
  • Car parking is available for all visitors, which is close to West gate
  • Taxis drop off at the South Gate
  • Shuttle buses run from venue to official social events, however return journeys must be self‑arranged. The pickup points will be clearly signposted

Gastech App

You can download the app from any app store. However, to access the app you need to have been registered, and this normally takes place 2 weeks before Gastech.

Use the app to plan your visit to Gastech. You can view the conference programme, speakers and their sessions. You can also use the app to network and schedule meetings with other attendees and search the exhibitor list for products and services.

Registration / badges: how do I register as a Speaker?

No action needed - your complimentary Speaker pass will be issued automatically. Please expect this to be emailed in advance to your main email (shown on the speaker portal)

  • You will need photo ID onsite to collect your badge
  • Badge collection is outside each hall

As a Speaker you will receive the equivalent to a Strategic delegate pass, which enables you to attend all conference sessions.

  • The drinks reception is strictly for Speakers, Executive Committee and Governing Body members only, we kindly request that you refrain from inviting or bringing any additional guests or nominating a replacement.
  • In the event that your availability changes after accepting the invitation, we kindly ask you to inform us promptly, as we may have a waitlist.

Transportation to Gastech evening events

Transportation will be provided to all the evening events once Gastech closes from outside the exhibition halls. Please arrange your own return journeys.

Shuttle buses will run from the venue to central Milan each event day, however return journeys must be self‑arranged. The timetable will be available shortly. The pickup points will be clearly signposted

Speakers Lounge

The speakers lounge is located to the rear of hall 24, adjacent to the Energy Impact stage.

 

Pre-session briefing

This is where we ask all speakers to meet 45 minutes before their session, for a final briefing, content discussion. We will escort you to your stage from here.

Login: your email

Password: if you have forgotten or need to reset your password, you can request this on the login page. An email will be sent to you.

 

The Speaker portal is where you can manage:

  • Profile: headshot, bio. company logo, mobile number.
  • Email: if your email address needs to be updated on your profile, please email [email protected].
  • Additional contact: if you would like another contact added to your profile in ‘cc’ please email the details to [email protected]
  • Abstract: you can make minor amends to your abstract, please ‘request to edit’ top right corner
  • Presentation: this is where you download the compulsory Gastech technical paper and PowerPoint templates

Presentation upload: This where you are required to upload your Speaker ppt. presentation and Technical Paper (all technical speakers) by Friday 22 August.

Speaker Terms, how do I sign them?

Look for an email from [email protected] (DMG Events) and then follow the instructions.

Strategic & Features Panels: Format & preparation

Introductions & talking points:

1. We will introduce all panelists to their Moderator by email from week commencing 11 August.

2. All panelists will be requested to send their Moderator a minimum of 2 key talking points or questions as soon as possible. The latest date to send these is, 27th August.

3. A pre‑panel briefing call may be arranged if time allows, and is highly recommended. This is either arranged by the Moderator or the Gastech content lead.

4. At Gastech you are requested to meet your panel in the Speaker Lounge 45 minutes before your session starts.

 

Panel Format

  • On the day, the Moderator will open with a brief introduction to the panel and then introduce each panelist, without any bios. You will already be seated on stage. The order will be shared in the Moderator introduction email.
  • The talking points are framed within a question and follow up questions which may be presented in no particular order to promote the conversational flow.
  • The first question is asked in order of the panel, and for the remaining time the session will naturally flow.
  • Presentation slides are not required.
Theatres: what can I expect in each theatre?

On arrival you will be introduced to your Venue Producer, who will look after you and give directions in the theatre.

  • Stage equipped with widescreen, audio, microphones
  • Comfort monitors and countdown clock provided
  • Clicker available for slide control

Technical & Commercial Speakers

Commercial sessions: What is the format?

The Moderator will open with a brief introduction to the session and then introduce each Speaker who will already be seated on stage. To enable the session to run to time, the introduction is advised to be kept to just a few minutes.

  • Biographies are not required to be read out as they are already fully available online and the app.
  • Each Speaker will then have 15 minutes for their presentation, which will be made from the podium, supported by their .ppt presentation.
  • At the end of the session, when all speakers have presented, there will be time to take questions from the audience.
  • The theatre will have a clicker and comfort monitor.
  • Please note if there is a reserve speaker, then they will be asked to present a shorter presentation of 10 mins.

Session time 

You can check your session time in the Speaker Portal, and remember to allow to meet in the Speaker lounge 45 minutes before the session start time.

  • For preparation purposes it is very important to ensure that all presentations remain up to 15 minutes in duration, to allow time to take questions from the audience.
  • The Moderator is responsible for ensuring a timely session for each Speakers presentation, Q&A, and that we finish the session at the correct time.
  • The Moderator will lead the questions from the audience, so please do inform the Moderator of any concerns you may have.
  • The running order will be confirmed in the moderator introductions.
  • Your compulsory PowerPoint Presentation is due to be uploaded as soon as possible or 22 August.
Commercial Speaker: Do I need to provide a Technical Paper?

No, as a Commercial session speaker you do not need to provide a technical paper. However if you choose to share a supporting paper, then we will make this available to delegates.

Technical Papers

The deadline for submitting your technical paper is Friday 22 August.

We appreciate your support in meeting this deadline. As all technical papers are made available at Gastech for delegates, we need time to prepare and upload these to the app and to the website.

 

It is mandatory for technical speakers to provide a technical paper.

Please upload your technical paper to the Speaker Portal.

 

Format

  • There is no word limit for your paper, however it does need to be a minimum of two sides of A4.
  • The style of your paper is your choice. We encourage, if appropriate, the use of graphs, graphics, illustrations, images.
  • Please provide the paper in in English.
  • Please upload as a PDF file.
  • All papers will be available for download to delegates during Gastech and post-event we will upload your paper to our content archive.
  • Please remember to credit your co-authors, if applicable.

Important .pdf file naming convention

Please name your paper, as your ‘first name surname_Organisation’ for example ‘Catherine French_DMG Events’. If your submission is not named correctly, we will not be able to allocate it to yourself and your session.

PowerPoint Presentation Deadline: Friday, 22 August

Please upload your presentation to the Speaker Portal by Friday, 22 August.

 

Presentation duration & number of slides:

Technical Speakers: up to 20 minutes for your presentation, therefore we advise 20 slides maximum please

Commercial Speakers: up to 15‑minutes for your presentation, therefore we advise 15 slides maximum please

Reserve Speakers: up to 10‑minute presentation, therefore we advise 10 slides maximum

 

Presentation templates

  • Please ensure you use the compulsory template, both of which are available for download on the Speaker Portal under the Presentation tab / submit presentation
  • Please note that the templates are a compulsory requirement and should be used as the background. You can add your logo & branding on all pages apart from the cover page.
  • We will not be able to accept a Paper or Presentation without the template.

 

Upload your presentation

  • Please upload your original PowerPoint file (not a pdf)
  • If you update your presentation, please just upload again and apply a version number to the end of file name i.e. ‘v2’
  • Important: please do not email ppt’s or updates

 

Important file naming convention

  • Please name your presentation, as your ‘first name surname_Organisation’ for example ‘Catherine French_DMG Events’.
  • If your submission is not named correctly, we will not be able to allocate it to yourself.

 

Onsite at Gastech:

  • Please remember to bring your final presentation to Gastech and ensure you can easily access a back-up. No .ppt’s can be taken in theatres.
  • You will be able to update and check your presentation at Gastech within the Speaker Lounge.
Reserve speakers: What does this mean?

As a Reserve speaker you could be asked to step in if another speaker (in the same theatre or session) is unable to take part at Gastech.

We may know about this pre event, or it could literally be 10 minutes before the session commences.

Therefore for all reserve speakers it is vital to fully prepare for participation, meeting the deadlines, reading all the briefings that have been emailed and attending any onsite panel briefings.

The intention is always that Reserve Speakers will present at Gastech, however this is subject to the Moderator and if permitted, the duration will be up to 10 mins.

Gastech acknowledge the preparation that a Reserve Speaker makes and therefore all Reserve speakers will receive all the same benefits as a confirmed Speaker, which includes:

  • pre-promotional publicity (website, app, printed collaterals)
  • a full complimentary pass (equivalent to strategic delegate pass)
  •  access to the Gastech socials inc. our Speaker Reception.

We will also share your technical paper (if applicable) and presentation to all Gastech delegates.

AI::Energy Spotlight Sessions

Presentation & format
  • Please upload your presentation to the Speaker Portal by Friday 22 August.
  • Please use the dedicated AI::Energy presentation template
  • You have up to 15-minutes to deliver your presentation or product demonstration.
  • If you are delivering a product demonstration that requires additional support (higher speed internet, additional stage space or any aerial activity) please let us know ASAP so we can ascertain if we’re able to accommodate this request.
  • The presentation will be followed by 5-minutes audience Q&A. We will not have a moderator for your session, so we would ask for you to conduct this Q&A directly with the audience.
